Where an assistant fits in a sales process

It helps to think of sales work in three layers. An assistant handles the middle one.

  • Selling. Calls, meetings, negotiation and terms. This stays with you and your sales staff.
  • Sales admin. Logging activity, updating deal stages, booking demos, cleaning records, importing lists you own and drafting quotes for approval. This is the part you can hand off.
  • Systems setup. Custom objects, automations and integrations. Some assistants help with small changes; larger ones usually belong with whoever administers your CRM.

Drawing these lines at the start makes providers easier to compare, and it gives you a scope that both sides read the same way.

From demo request to quote draft

  1. A prospect fills in your demo form. The assistant checks the CRM for an existing contact, merges if needed and creates the deal.
  2. The demo goes on the right rep's calendar, and the invite includes any prep notes the rep asked for.
  3. After the demo, the rep's notes are logged and the deal moves to its next stage.
  4. If the buyer asks for pricing, the assistant drafts a quote from your price book and sends it to the approver. The approved quote goes out under your name or the rep's, never as a promise from the assistant.

The same flow works in HubSpot, Salesforce or Pipedrive, with small differences in where quotes live.

What to have ready before CRM work starts

A little preparation makes the first weeks smoother. Most providers will ask for:

  • A user seat in your CRM with the permissions the tasks need, added under your own account
  • Your pipeline stages and the rule for each one
  • Your price book or quote template, plus the name of whoever approves quotes
  • Access to the calendars used for demos
  • Where reps will drop notes: a Slack channel, a shared inbox or CRM tasks
  • The lists you want imported, with where each one came from

If some of these do not exist yet, say so in your request. Writing them down is often the first piece of work.

Questions about crm and sales admin

Which CRMs can a sales admin assistant work in?

HubSpot, Salesforce and Pipedrive come up most often, and many assistants work in other mainstream CRMs too. Say which one you use, which edition, and any add-ons for quoting or scheduling, so the service partner can confirm fit before quoting.

Can the assistant clean up years of duplicate contacts?

Yes, and it is a common first project. The assistant lists likely duplicates, agrees merge rules with you and works through them in batches, keeping a log of what was combined. Bulk merges should be approved before they run, since a bad merge is hard to undo.

How will we know what the assistant changed?

Most CRMs keep a change history on each record, which is one reason a named seat matters. On top of that, ask for a short weekly summary: activity logged, merges made, deals moved, quotes drafted and anything waiting on a decision from you.
